Work orders

One work order for every repair, from assignment to back in service

Open a work order for a repair, a PM, an inspection or a roadside breakdown. Assign it, time the labour, add the parts, and when it closes the driver gets an email that the truck is back in service.

What a work order holds

Four kinds of job

Open a work order for a PM, a repair, an inspection or a breakdown, and set its priority. Each one moves through open, accepted, in progress, waiting for parts, completed or cancelled, so you can see where every job stands.

A lead and assistants

Assign a lead mechanic and any assistants. The lead gets a text message and an email, and accepts the job.

Labour timers

Each mechanic starts and stops a timer on the job, or adds a manual time entry when the timer was missed. Every mechanic has an hourly rate, and the work order adds up the labour.

Parts on the job

Type in the parts used on the repair. On Premium you can also pick parts from your parts stock or add tires to the work order, and picking a part lowers the stock count.

Comments and photos

Leave comments on the job, and they go out as email alerts. Add before and after photos taken with the phone camera, so the office sees the worn part without walking to the shop.

Out of service, then back

Mark a work order out of service and the truck comes off dispatch, with its downtime shown. When the work order closes, the driver gets an email that the truck is back in service.

When the job stalls on a part

Most repairs that run long are waiting on something. Set the work order to waiting for parts and RigMD emails the person who created it, so the office knows why T-114 is still in the bay without walking out to ask.

When the part arrives and the job resumes, the lead mechanic gets an email and a text message. The labour already logged stays on the work order, so the parts and labour totals cover the whole repair, not just the last shift.

PM work orders that open themselves

If you run preventive maintenance schedules, a daily job opens a PM work order for each schedule that comes due, and it does not open a second one for the same service. The PM then runs like any repair.

Complete the PM work order and the schedule rolls forward to the next due date and mileage. Nobody has to reset a sticker or a spreadsheet after the oil change on T-131.

How it works

From the first call to back in service

  1. 1

    Open the work order

Pick the unit, the job type and the priority, or let the daily PM job open it for you.

  2. 2

    Assign the mechanics

Choose a lead and any assistants; the lead gets a text message and an email and accepts the job.

  3. 3

    Do the work

Run the timers and add parts, photos and comments as the job moves along.

  4. 4

    Close it out

Complete the work order, keep the PDF on file, and the driver gets the back-in-service email.

Questions, answered

Which plan includes work orders?

Pro and Premium. Pro covers work orders, lead and assistant mechanics, labour timers, typed-in parts, photos and the PM work orders that open themselves. Picking parts from stock and adding tires to a work order are on Premium. See pricing.

Can mechanics see what a repair costs?

No. Each work order keeps parts and labour totals, but mechanics do not see the costs. The mechanics page covers how they work with their jobs.

How do mechanics record their time?

With a start and stop timer on the work order, one for each mechanic, or with a manual time entry. Each mechanic has an hourly rate, which RigMD uses for the labour on the job.

Do PM work orders open by themselves?

Yes, on Pro and Premium. A daily job opens one for each PM schedule that comes due, without duplicates, and completing it rolls the schedule forward to the next date and mileage.

Can I print a work order?

Yes. Every work order has a PDF you can print, file with the unit’s paperwork or send to whoever needs it.
