Assign each work order to a lead mechanic and assistants, track their labour with timers, and follow every job from the office. Mechanics work from a phone or shop computer browser and never see what a job costs.
Included from the Pro plan
| Work order | Status |

| WO-2291, T-114 brake chamber | In progress |

| WO-2297, T-131 breakdown | Waiting for parts |
Timer running on WO-2291
Each work order has a lead mechanic, and you can add assistants for the jobs that need more than one set of hands.
The lead gets a text message and an email when a job is assigned, then accepts it, so you know the job has been seen and taken.
Each mechanic starts and stops a labour timer on the work order. Time that was not clocked can be added as a manual entry.
Each mechanic has an hourly rate, and each work order totals its parts and labour. Mechanics do not see the costs.
Comments on a work order come with email alerts, and mechanics can add before and after photos taken with the phone camera.
Setting a job to waiting for parts emails the person who created it. Resuming the job tells the lead mechanic by email and text.
Mechanics sign in with the Mechanic role and see only work-order pages. Their My Work page lists the jobs assigned to them, so the first screen a mechanic sees is the work in front of them, not a dispatch board or a settlement report.
There is nothing extra to install. Mechanics use the web app in the browser on a phone or a shop computer, so the same login works in the bay and at the parts counter. Every job moves through the same statuses, open, accepted, in progress, waiting for parts, completed or cancelled, and the office can see where each one stands without walking the floor.
Timers run per mechanic, so when the lead and an assistant both work on T-114’s brake job, each one’s time is kept separately. If someone forgets to start a timer, a manual entry fills the gap. Each mechanic’s hourly rate turns that time into the labour total on the work order, next to the parts.
Because mechanics do not see costs, you can track true labour cost without putting pay rates in front of the whole shop. The work order totals feed the cost per vehicle on maintenance costs, and the full mechanic workflow is part of Pro. See pricing.
How it works
Give each one the Mechanic role and an hourly rate.
Pick a lead mechanic and any assistants; the lead gets a text message and an email.
The lead accepts, timers run, and comments and photos go on the work order as the job moves.
Mark the work order completed, and the office sees parts and labour totals that mechanics never see.
