Parts inventory

Know what is on the shelf before the truck is in the bay

Keep every part with its number, bin and reorder point. Picking a part onto a work order lowers the count, and the owner gets an email when a pick takes a part below its reorder point. Parts inventory is on Premium; see pricing.

Sample data

What parts stock keeps track of

Every part on file

Record each part with its part number, category, quantity on hand and reorder point. When a mechanic asks whether there is a spare slack adjuster, the answer is on screen, not in somebody’s head.

Shelf or bin location

Each part has a shelf or bin field, such as B-12 or Rack 3. A new mechanic can walk straight to the right drawer instead of opening every one in the parts room.

Picked onto work orders

Pick a part onto a work order and the quantity on hand goes down. Take it off the work order and it goes back into stock.

Reorder point email

When a pick on a work order takes a part below its reorder point, the company owner gets an email. The order can go in before the last one is used.

Restock from an invoice

Scan a supplier invoice and AI reads it to restock the parts on it, so nobody has to key a long invoice in line by line at the end of the day.

History, export, archive

Each part keeps a history. Export the parts list to CSV for a count or for your accountant, and archive the parts you no longer carry.

Why the count matches the shelf

A parts count drifts when it lives somewhere other than the job. In RigMD the part is picked onto the work order that used it, so stock drops when the brake chamber goes onto T-114, not at the end of the week when somebody remembers to update a spreadsheet.

If it was the wrong part and comes back off the work order, it goes back into stock. The part’s history is there when the count on screen and the count in the bin disagree, which makes the monthly walk-through shorter.

Reorder points that do some of the watching

Set a reorder point on the parts you cannot run without: brake chambers, air filters, slack adjusters, wiper blades before winter. When a pick on a work order takes one of them below that number, the company owner gets an email.

The email is tied to picks on work orders, which is one more reason to put every part on the job it went into. Restocking works the same way in reverse: scan the supplier invoice when the order arrives, and AI reads it to bring the counts back up.

How it works

From supplier invoice to work order

  1. 1

    Add your parts

Enter each part with its number, category, shelf or bin, quantity on hand and reorder point.

  2. 2

    Restock from invoices

Scan a supplier invoice when an order arrives, and AI reads it to restock the parts on it.

  3. 3

    Pick onto work orders

Pick parts onto the work order for the job, and the quantity on hand goes down as you do.

  4. 4

    Reorder on time

The company owner gets an email when a pick takes a part below its reorder point.

Questions, answered

Which plan includes parts inventory?

Premium. On Pro, parts are typed into each work order by hand. On Premium they can also be picked from parts stock, which keeps the count up to date. See pricing.

Does picking a part change the stock count?

Yes. Picking a part onto a work order lowers its quantity on hand, and removing it from the work order puts it back.

Who gets the low-stock email?

The company owner, when a pick on a work order takes a part below its reorder point. Set the reorder point on each part you want watched.

Can I restock from a supplier invoice?

Yes. Scan the invoice and AI reads it to restock the parts, which saves keying a long invoice in by hand.

Where does a part’s location go?

In its shelf or bin field. Each part has one, such as B-12 or Rack 3, so whoever is looking knows which drawer to open.

Can I export the parts list?

Yes, to CSV. Parts you stop carrying can be archived, and each part keeps its history.
